01 — Overview
A pathology report is only as good as the path the sample took to reach it. A tube that is mislabelled, a result checked against the wrong range, or a report released before a doctor has looked at it can cause real harm to a patient.
A diagnostic centre with a main lab and several collection points handled a steady stream of walk-in, referral and corporate patients. Samples were labelled by hand, reference ranges were looked up manually, and reports were printed and collected from the counter.
The centre moved its work to cloudePathology, our lab management platform. The whole path from registration to report delivery now sits in one system, and no report leaves the lab without a pathologist's sign-off.
02 — The Challenge
A busy lab, but no single trail from the collection counter to the patient
The team was skilled, but the workflow depended on memory and paper. The main difficulties were:
!
Samples were labelled by hand, so tracing one that was delayed or mixed up took time
!
Reference ranges depend on age and gender, and were looked up manually for each result
!
Abnormal values could be missed in a long list of results
!
There was no firm step that made sure a doctor had checked a report before release
!
Walk-in, referral, corporate and camp patients had different prices, kept in separate lists
!
Referral payouts to doctors were worked out by hand at the end of the month
!
Patients had to come back to the counter to collect printed reports
!
Reagents and consumables were not tracked by batch or expiry
!
Home collection was arranged by phone calls, with no clear list for the collection staff
!
A patient's earlier results were hard to compare with the new ones
03 — The Solution
A lab workflow built around barcoded samples and a verification step
We set up the front office, laboratory, reporting and billing modules first. Reagent inventory, analyser connection and home collection can be added as the lab needs them. The demo was prepared with the centre's own test list and report format.
Key highlights
- ✓Walk-in, referral and corporate registration, with the referring doctor recorded
- ✓Order entry, barcode printing, receipts and appointment slots at the front office
- ✓Barcoded samples tracked from collection, through processing, to disposal
- ✓A test catalogue with profiles, panels, methods, units and age-wise and gender-wise reference ranges
- ✓Manual result entry, or results taken directly from supported analysers, with abnormal values flagged automatically
- ✓Worklists by department and handling of re-runs
- ✓A verification workflow, so nothing is released until an authorised pathologist signs it off
- ✓Configurable report templates, a digital signature block and cumulative patient history
- ✓Branded PDF reports sent by email, WhatsApp or an SMS download link
- ✓Billing with separate rate lists for walk-in, referral, corporate and camp patients, plus discounts, dues, refunds and daily collection
- ✓Referral payouts worked out from the same system
- ✓Reagent and consumable stock with batch, expiry and reorder alerts
- ✓Home collection with staff assignment, route list and on-site status
- ✓Lab analytics for test volumes, turnaround time, referral performance and revenue
- ✓Access control and encryption for patient data
04 — Our Approach
What We Did Differently
01
Nothing leaves the lab without a pathologist's sign-off
The verification step is part of the workflow, not an extra. A report stays in the queue until an authorised person approves it, and the digital signature goes on only after that.
02
We set it up with the lab's own test menu
Instead of showing a generic demo, we configured the centre's own tests, reference ranges and report format, so the lab could see its real report on the screen.
03
One rate card for every kind of patient
Walk-in, referral, corporate and camp patients each have their own price list, so the billing counter does not have to remember who gets which rate.
04
It fits with the hospital system
For hospital labs, cloudePathology works alongside our hospital platform, cloudeVita.
05 — The Impact
From paper trails to a clear path for every sample
Every sample can now be followed from the collection counter to the final report, and the lab can see which tests are slow and which referrals bring the most work.
- ✓Every sample tracked by barcode, from collection to disposal
- ✓Abnormal values flagged against the right age and gender range
- ✓No report released without a pathologist's sign-off
- ✓Reports delivered by email, WhatsApp or SMS link, so patients do not have to return to the counter
- ✓Each kind of patient billed at the right rate
- ✓Referral payouts calculated from the same records
- ✓Turnaround time, test volumes and referral performance in ready reports
What's next
With this foundation, the centre can add analyser connections and home collection, and bring more collection points under the same lab.
