01 — Overview
In a hospital, time is the most valuable thing. When a patient has to repeat the same details at every counter, when a lab report gets lost on its way to the doctor, or when a bill is made without the pharmacy's entry, the delay hurts the patient first and the hospital second.
A multi-department hospital was facing exactly these problems. Reception, doctors, laboratory, pharmacy and billing each worked from their own files and slips, and the staff spent much of the day copying information from one place to another.
Before choosing any software, the hospital asked us to study how it really works. We then set up cloudeVita, our hospital management ERP, around those workflows. Today every department works from one patient record, and each staff member sees only what their job needs.
02 — The Challenge
Departments could not see each other's work, so patients waited and paperwork grew
The hospital had skilled people, but its tools did not talk to each other. Day to day, this meant:
!
Patients gave the same name and details at reception, at the doctor's room, at the pharmacy and at billing
!
Paper files and slips were misplaced between counters
!
Doctors wrote prescriptions by hand, and the pharmacy and lab had to read and re-enter them
!
Lab results reached the doctor late, and samples were hard to trace
!
Nurses had no quick view of which beds were free and which wards were full
!
Bills were prepared from several sources, so charges were sometimes missed or disputed
!
Insurance and HMO claims needed a lot of manual work
!
Blood bank, operation theatre, ambulance and housekeeping were run separately
!
Everyone could reach more patient information than their job required
!
Patients living far away could not consult the doctor without travelling
03 — The Solution
A connected hospital system built around the way the hospital already works
We began with a consultative study of the hospital's processes, then set up cloudeVita for its departments and workflows. Every role was trained on-site and online, with materials and video tutorials, and support continued round the clock after go-live.
Key highlights
- ✓A single patient record shared by registration, doctor, nurse, laboratory, pharmacy and billing
- ✓Appointment scheduling with a doctor directory and a clear daily schedule at the front desk
- ✓Doctor e-prescription, so medicines and tests reach the pharmacy and lab on screen
- ✓An electronic medical record holding every visit, test and treatment of the patient
- ✓OPD and IPD in one flow, with automatic referral, admission, ward and bed management, and an alert when beds run short
- ✓A laboratory module that tracks samples, warns when reagents run low, lets technicians upload results straight to the doctor, and connects to lab equipment
- ✓Pharmacy and medical store with medicine stock, expiry tracking and low-stock alerts
- ✓Operation theatre scheduling, and an emergency module with quick admission and new-patient alerts
- ✓Blood bank, and ambulance management with dispatch tracking
- ✓Billing and finance with insurance and HMO claims, payment links for sponsors, overdue alerts and accounting
- ✓Telemedicine with video consultation, report sharing and online prescriptions
- ✓A separate login for every role: receptionist, nurse, doctor, pharmacist, lab technician, HR, admin and cashier
- ✓Housekeeping, equipment maintenance, fixed assets, and staff and nurse directories
- ✓Live reports and an analytics dashboard for patient flow and finances
- ✓Encryption, role-based access and regular backups, supported by our ISO certification for information security
04 — Our Approach
What We Did Differently
01
We studied the hospital before we set anything up
Our team first sat with the staff to see how a patient really moves from reception to billing. cloudeVita was then configured around that, and the demo was run on the hospital's own workflow, not on sample data.
02
Alerts that watch for small problems
The system raises an alert when medicines or lab reagents run low, when beds run short, when a new emergency patient arrives and when a payment is overdue. Staff hear about a problem while it can still be fixed quietly.
03
Each person sees only their own part
A cashier does not see a doctor's notes, and a nurse does not see the accounts. Patient information is shown only to the people who need it.
04
It stretches beyond the hospital walls
A patient who cannot travel can speak to the doctor on video, and the prescription reaches them online.
05 — The Impact
From counters that repeated each other to one flow from reception to billing
Patients are now registered once, and their details travel with them to every department. Doctors, pharmacists and lab technicians work from the same screen, and the owner can see how the hospital is doing without waiting for a report.
- ✓A patient registered once, and recognised in every department
- ✓Fewer lost slips and fewer repeated questions at the counters
- ✓Prescriptions that reach the pharmacy and lab without being copied
- ✓A live view of beds, medicine stock and bills for nurses, pharmacists and cashiers
- ✓Early alerts for low medicines, low reagents, full wards and unpaid bills
- ✓Insurance and sponsor payments handled in the same system
- ✓Video consultations for patients who cannot travel
- ✓Patient information kept private by role-based access
What's next
The hospital now has a base to add more departments and branches, and to move more consultations online as it grows.
