01 — Overview
For anyone who sells goods, stock is both the biggest cost and the biggest worry. Too little, and a good customer walks away. Too much, and money sits on the shelf for months.
A business with several godowns and a retail counter lived with both problems at the same time. A fast-selling item ran out without anyone noticing, and a big order was lost. At the same time, another item had been lying in a godown for months, tying up cash.
The business partnered with us to bring all its godowns onto cloudeTrack, our AI-assisted store and inventory ERP. Every item now carries a barcode or QR code, every godown is visible on one screen, and the system warns the team before stock runs short.
02 — The Challenge
Stock was counted by hand, and decisions were made too late
The team worked hard, but its method could not keep up with the volume of goods. The difficulties were:
!
Stock counts were written by hand and typed later, which caused mistakes
!
No single view of what each godown held, which zone or shelf an item was on, or how full the godown was
!
No warning before fast-selling items ran out, and no way to spot items that were not moving
!
Reordering depended on memory and guesswork, rather than on sales speed and delivery time
!
Purchase orders, goods receipts and supplier payments were handled in different places
!
Little visibility into which suppliers were reliable and which gave better rates
!
Returns and damaged goods were not tracked properly
!
Unusual stock movements, such as missing items, were found only at the yearly count
!
Items with a limited shelf life were hard to keep track of
!
Fixed assets such as racks, machines and vehicles had no proper register
03 — The Solution

04 — Our Approach
What We Did Differently
01
A reorder suggestion that waits for a person's approval
The system watches how fast items sell and how long suppliers take to deliver, and suggests when to reorder. Purchase orders still pass through approval steps, so the buyer stays in control.
02
Stock that says when it moves oddly
If items disappear faster than expected or the numbers do not add up, an alert is raised. A mistake can then be looked at early, not at the yearly count.
03
Items sorted for you
The system classifies items by their value and how fast they move, so the team knows which ones deserve the most attention and which ones are lying idle.
04
Built for the real shop floor
Staff scan with a phone or a barcode scanner. Batch and expiry dates are tracked, and GST invoices and e-Way bills come from the same system.
05 — The Impact
From finding out too late to getting a warning in time
The business now counts stock by scanning, sees every godown on one screen, and gets a warning before an item runs short. Slow-moving goods stand out at once, and buying is based on how fast things actually sell.
- ✓Every godown, zone and shelf visible on one dashboard
- ✓Stock counted by scanning, with fewer typing mistakes
- ✓Reorder alerts when an item reaches its reorder point
- ✓Early alerts for unusual stock movement
- ✓Expiry dates watched, so goods are used before they go bad
- ✓GST invoices and e-Way bills from the same system
- ✓Purchase orders, goods receipts and supplier payments in one place
- ✓Slow-moving items and weak suppliers easy to spot in the reports
What's next
The business can now add more godowns and branches without changing the way it works.
